How to use Thicc Books and get paid faster

Follow this workflow to set up once, send invoices quickly, and keep records ready for tax season.

Start here (5 minutes)

  1. Open Settings and add your business details.
  2. Add your logo for branded PDFs.
  3. Create at least one client.
  4. Create your first invoice and share the PDF.
  5. Mark invoice paid when money lands.

What each tab does

  • Dashboard — paid/unpaid totals, year filter, recent invoices and estimates.
  • Invoices — create, share PDF, mark paid, duplicate to a new draft, optional “paid with crypto” for your records.
  • Estimates — quote jobs, convert to invoice, duplicate as a new draft.
  • Books — transactions, mileage, chart of accounts, and reports.
  • Clients — contacts reused on documents.
  • Settings — business profile, import, optional crypto-on-PDF (invoice PDFs only), sync across devices via iCloud.

Dashboard

See paid and unpaid totals for the selected year (or lifetime), and jump into recent invoices and estimates. When an invoice is paid and you've marked it as paid with crypto (and your company has crypto PDF settings enabled), a small icon appears on the row—this is for your records only; books stay in fiat.

Invoices workflow

  • Add line items, tax, and notes.
  • Use credits or negative line items for discounts and deposits.
  • Attach receipt photos—or use Import material receipts to add many supplier receipts at once (see below).
  • Optionally turn on job-site time tracking for automatic labor lines (see below).
  • Share invoice PDF by text or email.
  • Mark paid to keep books accurate.

Optional automatic job-site time (geofence)

This is off by default. When you enable Track time at job site on an invoice, the app uses the client's street address to build a circular geofence (about 120 m). Your phone detects when you enter and leave that area and records billable time on the device—no continuous GPS upload to Thicc Books or a map of your route.

  • How labor hits the invoice: time is counted in completed 15-minute chunks; very short exits (e.g. a quick materials run) are ignored. Each day can produce one labor line such as "Labor MM/DD/YYYY" using your rate and crew count.
  • Reminders: you can get notifications for crew check-ins and an end-of-day reminder; SMS is tap-to-send only.
  • Privacy: coordinates are not sent to our servers; geofencing uses Apple's location services on your device. Reliable background monitoring may require appropriate Location permission (battery use applies).

Bulk material receipt import (photos)

From the invoice editor, tap Import material receipts… and select many photos at once from your library (supplier receipts, box-store slips, etc.). The app runs on-device OCR to read totals—nothing is sent to us for scanning.

  • Review & grouping: receipts are grouped by calendar day (you can adjust dates). You can apply an optional markup % to materials for the job.
  • Into the invoice: the app merges amounts into line items per day (re-importing the same day updates the line). Receipt images can attach to the invoice with captions for your PDF—handy for material-heavy jobs.

Estimates workflow

  • Create quote with valid-until date.
  • Convert accepted estimate to invoice.
  • Track status so pipeline stays clear.

Books and reporting

  • Track income and expenses.
  • Use chart of accounts and tax categories.
  • Log mileage for deductions.
  • Review P&L and other reports.

Clients

Save client details once, then reuse them on invoices and estimates.

Settings

  • Business details and logo.
  • Invoice and estimate defaults and numbering.
  • CSV imports from common accounting exports.
  • iCloud: data syncs to your Apple ID—nothing is sent to us.

Optional crypto on invoice PDFs

In Settings, you can enable an optional block on invoice PDFs only with a network, receive address, and QR code. Approximate coin amounts may use a public price API when you share the PDF online. This does not change your fiat books, taxes, or exports—those stay in your invoice currency. Estimates are unchanged.

Duplicate invoice or estimate

Open an invoice or estimate, use the menu, and choose Duplicate. The app creates a new draft with the next number, copies lines, client, notes, and credits as appropriate, and does not copy attachments or job-site–specific artifacts.
